After years of training CRM users on Dynamics 365, Salesforce, Zoho and HubSpot, we see the same pattern: the system goes live on time, but six months later sales is back in spreadsheets. The technology rarely is the problem. Adoption is.
Why users drift away
- The CRM feels like admin. If it only serves management reporting, users see no reason to keep it updated.
- Training was generic. A two-hour demo of every feature is forgotten by Monday.
- Nobody is watching. Without usage data, leaders discover the problem too late.
Five habits of high-adoption rollouts
- Design around the user's day. Remove fields and steps that do not help the person entering the data.
- Train by role, with real scenarios. A rep needs to know how to log a call in under a minute, not how to configure a view.
- Build a champions network. Peers are more persuasive than project managers.
- Lead from the top. If leadership reviews pipeline in the CRM, the team will keep it up to date.
- Measure and reinforce. Track logins and record updates weekly, and follow up with targeted refreshers.
This is the approach behind our change management practice — and why the Riyadh Retail Group reached 91% adoption in week four.
